Starter document. These pages were written for invite-only pilot events and have not yet been reviewed by an attorney. Sections still being finalized are marked below. Questions: support@gathertime.com.

1. The principle

A Gathering belongs to its host. GatherTime gives the host (and the co-hosts and GJ they choose) full control over what appears in their Story and on their venue screen. Our job is to make that control easy to use and to keep it kind.

2. What is not allowed anywhere on GatherTime

Regardless of what a host permits, these may not be uploaded:

  • Sexual content involving minors, in any form. This is reported to authorities.
  • Content you do not have the right to share.
  • Sexually explicit material, graphic violence, or gore.
  • Hate speech or harassment targeting a person or group.
  • Threats, doxxing, or content intended to endanger someone.
  • Malware or attempts to break the service.

3. What a host decides

Within those limits, the host decides everything else: which Moments enter the Story, what reaches the screen, the order, and when. Hosts may decline or remove any Moment for any reason — including "it doesn't fit the night."

Hosts can also turn approval off entirely, in which case Moments appear immediately. That is a per-Gathering choice, disclosed to guests in the app.

4. How guests are told

Guests are never told that a Moment was approved or declined. You see only two states for your own upload:

  • Under review — a host has not acted yet.
  • Reviewed — a host has acted.

We do not send "your photo wasn't approved" notifications. We do not show queue positions. We do not expose which host acted.

Why: a decline is usually about pacing or fit, not about the person. Telling someone their memory was rejected at a wedding is a needless small cruelty, and it makes hosts reluctant to curate. Your original always stays safe in your Vault.

5. Reporting

Any guest can report a Moment to the hosts, with a reason. Reports are anonymous to the reporter — the host sees the report and the reason, never who sent it. Hosts review reports in their moderation tray and can remove the Moment from the Gathering.

Content described in section 2 should also be reported to us at support@gathertime.com; we can remove it from the service entirely and suspend the account.

6. Removal and appeals

  • Your own Moment: you can delete it yourself while it is under review. Afterwards, ask a host — once a Moment is part of the Story, removing it is the host's call.
  • A Moment of you, uploaded by someone else: use the report action or ask the host. Hosts are expected to honor a reasonable request to take down a photo of someone who does not want it shown.
  • Account-level actions by us: write to support@gathertime.com; a human will answer.

7. Photography at events

Guests should assume other guests may photograph them at an event, as at any event. GatherTime does not change that; it changes where the photos go. Hosts who expect people to want privacy (children present, professional or medical contexts) should say so in their Gathering Info card.

Still being finalized. Some places have specific rules about photographing identifiable people, especially minors, at semi-public venues. We are confirming whether a host disclosure is required and will surface it in the app if so.
